See <a href=\"https://www.fastmail.help/hc/en-us/articles/360060591213-Searching-your-mail\">Searching your mail</a> for the full list of operators.</p><p>Searches here can't search message bodies, so a plain word on its own, like <code>meeting</code>, won't work as a group. That means you can split your Inbox into work, notifications, and everything else, while your saved search is grouped by age and your Archive isn't grouped at all.</p><p>To set up groups elsewhere, open that folder, label, or saved search and choose <strong>Group</strong> from the <strong>More</strong> menu (⋯), just as you would in your Inbox.</p><h2 id=\"working-with-grouped-mail\">\n<a name=\"navigating\"></a>Working with grouped mail</h2><p>Each section has a header showing its name and how many conversations it holds.</p><ul>\n<li data-list-item-id=\"edcba75faea72647ee606e634f9a9fa56\">\n<strong>Collapse a section</strong>: click its header to hide it. We'll remember which sections you collapsed, so they stay out of the way. Click the header again to expand it.</li>\n<li data-list-item-id=\"ecc4224e58f5da84c093b0ee31bc03016\">\n<strong>Act on a whole section</strong>: use <strong>Select all</strong> in a section header to select every conversation in it, then archive, move, mark as read, or delete them in one go.</li>\n<li data-list-item-id=\"e7741514db2d59974b3b338b4324d65b8\">\n<strong>Sort within sections</strong>: grouping doesn't replace sorting. Pick any sort order from the <strong>More</strong> menu (⋯), such as oldest first or by sender, and it applies inside each section.</li>\n</ul><p>Groups only change how your message list is laid out. Folder unread counts, badges, and notifications work exactly as before.</p><p>Grouping works whether you have conversations on or off. No spam filters are perfect, and they may cause your legitimate email to be marked as spam.</p><p>It's often difficult to know why a message was filtered as spam. Email providers sometimes apply stricter requirements for bulk senders, so it is generally better to use a dedicated bulk mailing service.</p><p>If your workflow involves sending marketing, newsletter, transactional, or notification emails, we ask that you please use a service dedicated to bulk mailing. Sending bulk emails is not permitted under our <a href=\"https://www.fastmail.com/policies/terms-of-service/\">Terms of Service</a>.</p><h2 id=\"h_01M1CSW61VMCD1XDCSG67QQ0K2\">\n<a name=\"content\"></a>Something in the email's content is considered suspicious</h2><p>One of the factors an email provider considers while deciding whether an email is spam is its content. Excessive use of words seen in promotional emails, links to websites or domains with a poor reputation, and signatures containing multiple links are some of the common reasons why an email may be marked as spam.</p><p>If you suspect that your email's content may be considered suspicious, you can test this by sending a plain-text email with a short sentence. If the email doesn’t go to the recipient's spam folder, the problem is almost certainly the content of the email you sent earlier.</p><h2 id=\"h_01M1CSW61WPQ24F3CRA1TESRGR\">\n<a name=\"authentication\"></a>The email is not properly authenticated</h2><p>Email authentication is a set of protocols that verifies the legitimacy of the email sender, helping to control and recognize email spoofing. It uses existing standards like <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280461-Sender-authentication\">SPF, DKIM, and DMARC</a> to confirm that an email is genuinely from a sender authorized to use the domain it claims to be from. If the domain has not been properly set up, mail providers may mark your email as spam.</p><p>If you're using a <a href=\"https://www.fastmail.help/hc/en-us/articles/6239365719055-What-domains-can-I-use-with-Fastmail\">Fastmail domain</a>, we will take care of the necessary DNS records to have the email sent out with proper authentication.</p><p>If you're sending emails from a custom domain, make sure that your domain's <a href=\"https://www.fastmail.help/hc/en-us/articles/360058753394-Custom-domains-with-Fastmail#h_01H0T77J2TVPK90BQ68TJ1T0ZT\">DNS records are configured correctly</a> to send emails. You can check if the SPF and DKIM configurations are correct by opening your domain from the <a href=\"https://app.fastmail.com/settings/domains\">Settings → Domains</a> screen.</p><h2 id=\"h_01M1CSW61Y47P412ZZNDY91QDE\">\n<a name=\"reputation\"></a>The email address has poor domain reputation</h2><p>The recipient’s email provider may mark an email as spam if it is coming from a domain with a low reputation. If your domain is newly registered, this can cause it to be considered low reputation. Your domain could also have a low reputation if it has been reported for spam too many times, or if it is on a blacklist.</p><p>If you suspect that your domain’s reputation is causing the issue, you can test this by sending the same email again, but this time from an alias at a <a href=\"https://www.fastmail.help/hc/en-us/articles/6239365719055\">Fastmail domain</a> instead of your custom domain. If the email doesn't go to the recipient's spam folder, the problem is likely the domain's reputation.</p><h3 id=\"h_01M1CSW61ZW9SN2BGRX4YEYV5X\">\n<a name=\"reputationprovider\"></a>Domain reputation specific to an email provider</h3><p>If you notice that emails addressed to only a particular email provider are being marked as spam (e.g. every message you send to someone using Outlook goes to their spam folder), it usually indicates that the domain has been blacklisted by that email provider. </p><p>It may be helpful to ask your contacts who use the same email provider to mark your emails as \"not spam,\" which could help increase the reputation of your domain at that provider.</p><h3 id=\"h_01M1CSW61ZR8S3Y7SHGPV0X5NK\">\n<a name=\"reputationrecipient\"></a>Domain reputation specific to a single recipient</h3><p>If your emails are only being filtered as spam when sent to a specific person, it could be caused by a specific rule, setting, or filter on that recipient's account. You can ask the recipient to:</p><ul>\n<li data-list-item-id=\"ea324c781ee245f53d7df59a743d02efa\">Review their mailbox rules or filters to see if emails from your address or domain are being asked to be marked as spam.</li>\n<li data-list-item-id=\"e9e42c70b3734161be5b2d7b4a7891a00\">Add your email address or domain to their Safe Senders/Allowed Senders list.</li>\n<li data-list-item-id=\"e90e8fa88cd305250cc71dd9b4210fb99\">Contact their email administrator if they are a part of an organization to verify that they aren’t filtering the your address or domain.</li>\n</ul><h2 id=\"h_01M1CSW620EGDVPAGNZX153MC8\">\n<a name=\"support\"></a>Contact support</h2><p>If you’re unable to narrow down the issue, ask the recipient for the full headers of the email that was marked as spam. It cannot access your email, your contacts, or your calendar.</p><h2 id=\"h_01KQRPPDWQ48GYAZBPJQ0H65AB\">\n<a name=\"limitations\"></a>What the AI can and can't help with</h2><p>The AI tool works well for general questions, like how features work or how to set something up.</p><p>This tool cannot access your account, so it won't be able to do anything specific to your situation, like looking up a specific billing detail, or reviewing our internal logs to explain a mail delivery issue. If your question is about these specific details, or anything else the AI tool isn't equipped to answer, we'll display a message on the screen suggesting that you submit your query as a support ticket, which you can do on the same page: just complete the CAPTCHA if it appears, then select <strong>Create ticket</strong>.</p><p>The tool cannot process any files attached to the ticket. </p><p>AI can make mistakes. Answers may occasionally be inaccurate, incomplete, or not reflect recent changes to Fastmail's features. You can review the <a href=\"https://www.fastmail.help/hc/\">Fastmail Help Center</a> to validate information that the AI provides.</p><p>If something doesn't seem right, please click <strong>Create ticket</strong> on the same screen so a member of the Fastmail team can have a look.</p><h2 id=\"h_01KQRPPDWQESP8N9G3MKJAJSK5\">\n<a name=\"privacy\"></a>Your query and your privacy</h2><p>The options you select and text you type in the form are sent to Anthropic's Claude to generate a response. For more on how Fastmail handles data in connection with third-party AI services, see our <a href=\"https://www.fastmail.com/policies/privacy/\" target=\"_blank\" rel=\"noopener noreferrer\">privacy policy</a>.</p><p>Since AI Instant Answer doesn't have access to your account, it doesn't need any personal details to answer your questions. Please also avoid including sensitive information like passwords or credit card numbers in your question, just as you would when sending your message to our support team.</p><p>Your interaction with AI Instant Answer is available to Fastmail staff to ensure the quality of the information we provide.</p><h2 id=\"h_01KQRQ63NRAM0AHFGYC3P1TWNY\">\n<a name=\"human\"></a>Prefer to speak with a person?</h2><p>The option to create a ticket is always available. We don't require that you to interact with an AI or create barriers to getting in touch with the Fastmail team. Your support tickets always go straight to a human, and you don't have to try the AI first.</p><p>If you did try the AI and the answer didn't resolve your question, you can still send a ticket at any time — we're always happy to hear from our customers!.</p><h2 id=\"h_01KRJNNFSKWG68QBCQF55P68DV\">\n<a name=\"hallucinations\"></a>I received a misleading response</h2><p>The responses provided by AI Instant Answers are powered by Claude using Generative AI, which can occasionally produce responses that are incorrect or misleading. This is known as \"hallucinating\" information, and is a result of the limitations of Generative AI models. AI Instant Answers should not be relied upon as a source of truth. </p><p>Please use our \"Was this helpful?\" prompt to indicate you're received information that was not accurate. This includes choosing preferred colors, and also switching between light mode and dark mode.</p><p>Please see the <a href=\"https://www.fastmail.help/hc/en-us/articles/4413954290447\">Themes</a> help page for more details.</p><h3 id=\"h_01KSZWM3DS4RMARS3CAPP4RE1R\">\n<a name=\"navigation\"></a>Navigation</h3><p><span data-doc-id=\"5483f81c-7509-42e6-9551-e9db7c3262ec\"></span></p><p>The navigation bar on the left-hand side of your mailbox can be customized. Enabling each option will include an icon in the navigation bar, which allows you to click and directly go to that specific screen. Disabling an option will remove the corresponding icon from the navigation bar. If all options are disabled, the navigation bar will be hidden completely.</p><h3 id=\"h_01KSZWMK2KFKTQ8J4DR9HDE33D\">\n<a name=\"accessibility\"></a>Accessibility</h3><p>The accessibility options allow you to change the Fastmail interface to fit your needs.</p><ul>\n<li data-list-item-id=\"e78374edbdaf1244aed0778dabf0b86bd\">\n<strong>Text size</strong>: Increase or decrease text size.</li>\n<li data-list-item-id=\"e364c578c8deb9a7466aae4088aa0d71d\">\n<strong>UI Font:</strong> Change the font used in the interface. Our default font is Proxima Nova. If you prefer, you can change this to match your system font.</li>\n<li data-list-item-id=\"e539c42474d4cb73670ee0facdec456fe\">\n<strong>Use a monospaced font for plain text:</strong> When enabled, the font used for displaying plain text will be a <a href=\"https://en.wikipedia.org/wiki/Monospaced_font\">monospace font</a>.</li>\n<li data-list-item-id=\"e3cfffe081704a7725e1557216043a17a\">\n<strong>Show a dividing line between rows</strong>: When enabled, there will be dividing lines displayed between rows.</li>\n<li data-list-item-id=\"e491e65ff42d5af42c2cc0a8e8e70bc09\">\n<strong>Enable keyboard shortcuts</strong>: When enabled, keyboard shortcuts can be used. When disabled, keyboard shortcuts will not work. The good news is that, in many cases, your account hasn’t been compromised and the email is spoofed.</p><p>This help page explains what email spoofing is, how to tell if it happened, and what you can do about it.</p><h2 id=\"h_01KQFXQV5YWKXVN5VJX4AG2ZDQ\">What is email spoofing?</h2><p>Email spoofing is when someone sends an email that is made to appear as though it came from a different address or sender than it actually did, often a trusted sender, organization, or even your own email address. Attackers use spoofing to trick recipients into trusting a message or to bypass spam filters.</p><p>Spoofing is possible because the addresses you see in the <code>To</code> and <code>From</code> fields are simply part of the message content, they do not determine delivery. For example, forwarded emails maintain the original <code>To</code> and <code>From</code> while the sender (the person who forwarded the email to you) and recipient (you) are different. Behind the scenes, email is routed using separate “envelope” addresses.</p><p>Since the email system was originally designed for communication between trusted devices, <code>To</code> and <code>From</code> fields can be forged or spoofed. The <a href=\"https://www.fastmail.help/hc/en-us/articles/360058753414-Email-addressing\">Email addressing</a> help page has more detailed information about this process.</p><p>Modern sender authentication tools can help in identifying when an email has been spoofed.</p><h2 id=\"h_01KQFXQV6041AST5ND3NHVN3D4\">What is sender authentication?</h2><p>We use <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280461-Sender-authentication\">Sender authentication</a> standards like SPF, DKIM, DMARC, and ARC to help verify that an email really came from who it claims to. SPF checks whether the sending server is allowed to send for that domain, DKIM uses cryptographic signatures so receivers can tell if the message was tampered with. DMARC builds on these by checking against the domain in the header “From<strong>”</strong> (the part that is most commonly spoofed), and by letting domain owners specify how SPF and DKIM failures should be handled.</p><p>Fastmail treats authentication results as a signal and not a cause to block emails because sender authentication can fail for legitimate reasons such as email forwarding. Not all authentication failures indicate a spoofed or malicious message. When an email fails authentication, spam scores are adjusted to reflect this. However, authentication is only one of many factors used to determine whether a message is delivered to the Inbox or Spam.</p><h2 id=\"h_01KQFXQV61TA2FK9612JPKDHY8\">How to detect if an email was sent from your Fastmail account?</h2><p>You can view the headers of an email by clicking the <strong>Actions</strong> menu at the top right of the message, then clicking <strong>Show raw message</strong>.</p><p>If the header <code>X-ME-Sender</code> is present and contains <code>xms</code> information, the email was sent from Fastmail servers which means the email was not spoofed. If you see this header on an email with your address in the “From” header and you did not send this email, please reach out to our <a href=\"https://fastmail.com/support\">support team</a> for assistance.</p><h2 id=\"h_01KQFXQV62NV21ETJRABQPMSKK\">How can I prevent spoofing?</h2><p>If you receive a spoofed message, you can report it as spam by selecting the message, clicking the <strong>More </strong>button, and clicking <strong>Report spam</strong>.</p><p>If you are using a custom domain and you’re seeing frequent spoofing attempts, we recommend setting up a <a href=\"https://www.fastmail.help/hc/en-us/articles/8703749889807-DMARC\">DMARC</a> policy. The easiest way is to delete the old profile off your device and use the <a href=\"#autoconfig\">automatic setup tool</a> to generate a new password and store it on your phone.</p><h2 id=\"h_01HADAEV8NHCAJYN0RCW07JX00\">\n<a name=\"manual\"></a>Manual setup</h2><p>To set up the app passwords for email, calendar, contacts and notes manually, we have <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752914\">detailed instructions</a>. Your message can be sent to recipients in different ways, and various actions can be taken on the message.</p><h3 id=\"h_01KJZHB0JR2XXFQ8W9J80NEJDR\">\n<a name=\"newwindow\"></a>Compose in a new window</h3><p>You can compose messages or replies in a new window by clicking the pop-out arrow icon in the upper-right hand corner of the composer: <img class=\"wysiwyg-image-resized\" style=\"aspect-ratio: 58/48; width: 4.47%;\" src=\"https://www.fastmail.help/hc/article_attachments/15382934058511\" alt=\"Screenshot 2026-03-06 at 12.34.16 PM.png\" width=\"58\" height=\"48\"></p><p>You can also open the composer in a new window by holding the <kbd>Shift</kbd> key and clicking <strong>Compose </strong>or <strong>Reply</strong>.</p><p>For more information on using the pop-out composer, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/15457507511951\">Open messages in a new window</a> help page.</p><h3 id=\"h_01KJZHC5NB5C8A3RBT9VXPKT17\">\n<a name=\"replies\"></a>Sending replies</h3><h5 id=\"h_01KK23SY196FX9F80Y6JXQ4MT9\">Reply options</h5><p>By default, the reply options you see on a message will depend on the recipients:</p><ul>\n<li data-list-item-id=\"ecc4e08f94c63149f9aebcb5c1829384b\">If you are the only recipient of a message, the reply button will be displayed as <strong>Reply</strong>, and the reply will go to the sender.</li>\n<li data-list-item-id=\"ef51edbf70684a600da43977377e85ab4\">If you are a recipient on a message that was sent to a mailing list/listserve, the reply button will be displayed as <strong>Reply to list</strong> by default.</li>\n<li data-list-item-id=\"eea2d642ec2a93d39ac7e3c684c0ba4cc\">If you are a recipient on a message that has multiple recipients, the reply button will be displayed as <strong>Reply to all</strong> by default, and the reply will go to all other recipients listed on the message.</li>\n</ul><p>If you are viewing a conversation and you only want to respond to an individual sender, click the <strong>Actions</strong> button in the message and select <strong>Reply to sender</strong>. </p><p>If you have already started drafting a message, you can click <strong>Reply to ___</strong> in the composer and select the desired reply option.</p><p>If you prefer to have your replies go to the sender by default, this can be changed under <a href=\"https://app.fastmail.com/settings/preferences?sessionpicker=1\">Settings → Mail preferences</a> (see \"Replying in a conversation\" on the <a href=\"https://www.fastmail.help/hc/en-us/articles/1500001969861\">Conversations</a> help page for more).</p><h5 id=\"h_01KK23V0WPKBZJ5TXQZCXXRTT4\">Inline replies</h5><p>When replying to a message in the web interface or desktop app, the compose window will appear inline within the conversation thread, allowing you to scroll up and reference the conversation if needed. Composer buttons (<strong>Send</strong>, <strong>Attach</strong>, <strong>Discard</strong>, etc.) will be shown along the bottom of the composer.</p><p>The subject line is hidden when replying inline to provide more space for writing your message. If you need to edit the subject line, you can do so by clicking the <strong>More</strong> button on the bottom toolbar, then clicking <strong>Edit subject</strong>. (Note: We generally do not advise changing a subject line on a reply, as this breaks conversation threading.)</p><h5 id=\"h_01KK23T4P8AKW8FJT139HZ2Z0H\">Focused view</h5><p>If you prefer to compose replies in a focused view (similar to the normal compose window), you can switch to the focused view by clicking the icon that looks like two arrows: <img class=\"wysiwyg-image-resized\" style=\"aspect-ratio: 82/58; width: 4.77%;\" src=\"https://www.fastmail.help/hc/article_attachments/15382917107471\" alt=\"Screenshot 2026-03-06 at 12.25.12 PM.png\" width=\"82\" height=\"58\"></p><p>When replying in focused view, the composer buttons will be located at the top of the composer, and the subject line will always be shown.</p><p>If you switch to focused view, this preference will be saved locally.</p><h3 id=\"h_01K9Z08QEWCC4DEZGQW260AN4V\">\n<a name=\"recipients\"></a>Adding recipients</h3><p>A message can be sent to one recipient or multiple recipients. </p><p>Recipients can be added to the <strong>To </strong>field, <strong>Cc</strong> field, and/or the <strong>Bcc</strong> field. Clicking <strong>Cc</strong> and <strong>Bcc</strong> will display the <strong>Cc</strong> and <strong>Bcc</strong> fields, and you can click <strong>Hide</strong> to remove them. Recipients added to the <strong>Cc</strong> field will be carbon copied, and recipients added to the <strong>Bcc</strong> field will be blind carbon copied.</p><p>After adding a recipient, you can drag and drop them between <strong>To</strong>, <strong>Cc</strong>, and <strong>Bcc</strong> as needed. If you want to select more than one recipient at a time, you can use <kbd>Ctrl</kbd> <strong>+ Click </strong>to select individual recipients, or <kbd>Shift</kbd> <strong>+ Click </strong>to select a range of recipients. You can also right-click the recipient to show a menu where you can quickly add them as a contact, or view their contact information if they have already been added to your addressbook.</p><h3 id=\"h_01K9Z0C7XQ9VZ38XXE5DGJPGSJ\">\n<a name=\"actions\"></a>Composer toolbar actions</h3><p>There are different actions that can be taken on a message. These are found on the composer toolbar, and include the <strong>Send</strong>, <strong>Save draft</strong>, and <strong>Discard</strong> actions.</p><p>Click <strong>Send</strong> to send your message to the intended recipients. There is also the <strong>Scheduled Send</strong> option, which can be accessed by clicking on the down arrow that is on the right side of <strong>Send</strong>. This is used for scheduling a later time in which your message will be sent out. For more details, see the <a href=\"https://www.fastmail.help/hc/en-us/articles/4686576659727\">Scheduled Send</a> help page.</p><p>Click <strong>Save draft </strong>to save the message you're currently composing as a draft. For more details, see the <a href=\"https://www.fastmail.help/hc/en-us/articles/7962404002319\">Drafts</a> help page.</p><p>Click <strong>Discard</strong> to delete the message you're currently composing.</p><h5 id=\"h_01KK26CKJ09T6J7DC5K3WE67JN\">\n<a name=\"more\"></a>\"More\" options</h5><p>The <strong>More</strong> button in the composer toolbar shows extra options that you can enable for your message:</p><ul>\n<li data-list-item-id=\"ec5606a1279e1b996ddf910a72f1c1748\">\n<strong>Show/Hide Cc: </strong>This option will toggle the Cc line on or off.</li>\n<li data-list-item-id=\"e09d2d01c3d8a5257a7052c5f9bc2a6e4\">\n<strong>Show/Hide Bcc: </strong>This option will toggle the Bcc line on or off.</li>\n<li data-list-item-id=\"e5349d1d87e7ed870b33e2e9860cd8393\">\n<strong>Edit subject</strong>: This option will only be shown if you are replying to a message in the web interface or desktop app (see <a href=\"#replies\">Inline replies</a> above).</li>\n<li data-list-item-id=\"ef8ebaeac7699e4bff60bcfca855c69b8\">\n<strong>Make plain text</strong>: This option will remove all formatting from your message and convert it to plain text. If you have plain text enabled, this option will show as <strong>Make rich text</strong>.</li>\n<li data-list-item-id=\"e66d4f583d9e17db50e42b3d041cbbb34\">\n<strong>Mark high priority</strong>: This option will tell the recipient that you believe your message should be considered as urgent. </li>\n<li data-list-item-id=\"e20ddeb5c089a478f60a8c7234e5b4759\">\n<strong>Request read receipt</strong>: This option will request that the recipient notify you when they've read your message. </li>\n</ul><p>More details on the high priority and read receipt options can be found in the <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000278162\">Read receipts</a> help page.</p><h3 id=\"h_01KAHHSMCZ2C6V9A0GJH95YCM2\">\n<a name=\"formatting\"></a>Formatting toolbar</h3><p>There are various options available for formatting your messages in the composer. There is also an option to use the same format as the original message when you are replying.</li>\n<li data-list-item-id=\"e9ada7adc3ca576d0144cf2aa42e8795c\">\n<strong>Default style</strong>: Use the formatting section to set default styling for when you're writing your messages. You can choose whether you'd like us to cache only recent mail (any message that has previously been viewed on this device, plus any future messages you receive) or if you'd like us to cache all mail (every message that's in your account).</p><p>The mobile app will need to stay open and active (not running in the background) while the device is syncing. Syncing on your browser can happen in the background.</p><p><strong>Note:</strong> If you see a banner on the <a href=\"https://app.fastmail.com/settings/offline\">Settings → Offline</a> screen that says \"Long-term session required,\" this means that you will need to log out, then log back in with the <strong>Keep me logged in</strong> option enabled. Once you are logged in with <strong>Keep me logged in</strong> selected, you should then be able to return to the <a href=\"https://app.fastmail.com/settings/offline\">Settings → Offline</a> screen and enable offline support.</p><h2 id=\"h_01JF8NNBY2HK3ZGF0S3XFXJ9JA\">\n<a name=\"disable\"></a>Disable offline support</h2><p>You can disable offline support for your device by going to <a href=\"https://app.fastmail.com/settings/offline\">Settings → Offline</a> and clicking the toggle button next to <strong>Disable offline support</strong>, then selecting <strong>Confirm</strong>.</p><p>Disabling offline support will remove the cached data that we previously downloaded to your device while offline support was enabled.</p><h2 id=\"h_01JF8NNRA8BT3T86KM0MYPBRN3\">\n<a name=\"limitations\"></a>Limitations</h2><p>While offline, certain features may not be available or may behave differently.</p><h4 id=\"h_01JFJJVFVGJV56R1B611K4SDE6\">Mail search</h4><p>Mail search will only work on messages that have been cached offline.</p><p>Mail search cannot search inside attachments while offline.</p><p>Stemming is not used to match phrases while offline, which means that we won't automatically include plurals (fox, foxes) and tenses (fish, fishing, fished) in search results <a href=\"https://www.fastmail.help/hc/en-us/articles/360060591213-Searching-your-mail#phrases\">as we normally would</a>. Please be sure that you are entering the full email address, including the domain, into the login form. As an example, if your username is <code>myaddress@domain.com</code>, you will need to enter <code>myaddress@domain.com</code> instead of only typing <code>myaddress</code>.</p><p>If you have forgotten your username or password, or if you have lost your 2FA device, you can use our <a href=\"https://app.fastmail.com/recover/\">account recovery tool</a> to regain access to your account.</p><p>We strongly recommend setting up a recovery email address and/or phone number in case you ever need to use the account recovery tool. Sorry, you can't send messages at this time,\" this means that we've detected bulk sending from your account. Fastmail is not designed for bulk sending, and our <a href=\"https://www.fastmail.com/policies/terms-of-service/\">Terms of Service</a> prohibits sending duplicative email. This reduces the risk of <a href=\"https://www.fastmail.help/hc/en-us/articles/360060590633\">phishing</a>, as there is no password used and the passkey cannot be used on a fake website. Since there is no password to remember, this also allows for faster sign-ins and helps you avoid <a href=\"https://www.fastmail.help/hc/en-us/articles/360060590613-Passwords\">password reuse</a>. </p>\n<p>Fastmail is introducing passkeys as an alternate login mechanism — your Fastmail username and password will continue to work after a passkey has been created in your account.</p>\n<p>This help page will cover how you can use passkeys with your Fastmail account. Sent messages are saved in your Sent folder.</p><p>Your mailbox storage quota corresponds with your subscription plan. See the <a href=\"https://www.fastmail.help/hc/en-us/articles/10736276331791\">Subscriptions for migrated Pobox users</a> help page for details.</p><h3 id=\"h_01J83ERXRQ8KSJR9KYD1HS525J\">\n<a name=\"webmail\"></a>Webmail</h3><p>Fastmail offers an intuitive webmail interface that comes with features to help you stay organized, productive, and secure.</p><p>You can choose to organize your mail in <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280301\">folders</a> or switch to <a href=\"https://www.fastmail.help/hc/en-us/articles/360058753554\">labels</a>. Messages sent to your Pobox aliases continue to be delivered to your forwarding addresses.</p><p>If you have been moved from a Pobox Basic or Pobox Plus plan, mail will be delivered to your forwarding addresses by default. Copies of your forwarded mail will be delivered to your Fastmail mailbox's Trash folder.</p><p>If you have been moved from a Pobox Mailstore plan, mail will be delivered to your forwarding addresses and your Fastmail mailbox.</p><p>Spam will not be delivered to external forwarding addresses. No changes in server settings will be needed.</p><p>If you need to set up a new third-party email client or app, we recommend using Fastmail servers. We offer setup guides that can walk you through setting up your Fastmail account on various popular mail clients and apps.</p><p>When setting up a third-party email client or app, please note that all connections over third-party clients or apps need an <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752854\">app password</a> to access your information. You can <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752694-Calendar-events-and-invitations\">create events</a>, send and respond to invitations, subscribe to <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000279861\">public calendars</a>, create <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000279781\">shared calendars</a> with other users in your account, and more.</p><p>With <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280101\">Fastmail contacts</a>, you can add detailed entries to your address book, create <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280101-Using-Contacts#vip\">VIP contacts</a> that let you choose special settings for certain people, create a <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000279721\">shared address book</a> with other users in your account, or easily view contact information from your inbox using the <a href=\"https://www.fastmail.help/hc/en-us/articles/1500007394662\">sidebar</a>.</p><p><a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280181\">Fastmail notes</a> let you write, store, and easily access whatever information you need to stay organized.</p><h2 id=\"h_01J53MVNABKYBTDBVT1R5A9G9H\">\n<a name=\"billing\"></a>Billing</h2><p>Your Pobox invoice history is not available in the Fastmail billing interface. </p><p>You can pay for your account and manage your subscription plan through the <a class=\"ui-link manage\" href=\"https://app.fastmail.com/settings/plan?sessionpicker=1\">Settings → Billing &amp; Plan</a> screen. From this screen, you will also be able to view your account's billing history and next renewal date.</p><p>Please note that billing is only handled by the administrators of your account. If you are not an <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752394\">administrator</a> for your account, you may not see this screen available in your settings. Separate billing contacts cannot be added.</p><p>Your subscription renewal date remains the same. When you renew, payments will appear on your credit card or bank statement as \"Paddle.net* Fastmail.\"</p><p>For more information on billing, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752494-Payments\">Payments</a> help page.</p><h2 id=\"h_01J811AR9S43C8YDHQMP585V4C\">\n<a name=\"usersaliases\"></a>Users &amp; aliases</h2><h3 id=\"01J56XAFKW83MX5W8BN5H5XZXB\">\n<a name=\"usermanagement\"></a>User management</h3><p>Each user has their own login credentials, mailbox, and storage quota.</p><p>If you want to add users to your account, you can do so by going to your <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/team/users/\">Settings → Users &amp; Sharing → User management</a> screen.</p><p>If you are not an administrator for your account, you may not see this screen available in your settings.</p><p>For more information on adding and managing users, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/360058752594\">Managing users as an admin</a> help page.</p><h3 id=\"h_01J53KFMS70N7BDJAJDNSRMEGM\">\n<a name=\"aliasmanagement\"></a>Alias management</h3><p>For most customers, your Pobox aliases have been migrated to your Fastmail account, so you will still be able to use all of your addresses.</p><p>There may be some edge cases where we will not be able to migrate a Pobox alias (e.g., the alias uses a custom domain that belongs to a user in a different Fastmail account). </p><p>You can create new aliases by going to your <a class=\"ui-link security\" href=\"https://app.fastmail.com/settings/addresses?sessionpicker=1\">Settings → My email addresses</a> screen. For more information on navigating this screen, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/6400028063119\">My email addresses</a> help page. </p><p>When setting up a new alias, you'll see that you can set up delivery and compose options. Delivery options control how you receive mail sent to this alias (e.g., automatically moving a message to a certain folder or forwarding it to another email address) and compose options control how you send mail from this alias (e.g., changing the name recipients will see). For more information on configuring aliases, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/360060591073\">How to set up aliases</a> help page.</p><p>We also support plus addressing and subdomain addressing, which allows you to easily use variations of your aliases and automatically file mail into folders. Your domains will continue working with no DNS changes or additional setup needed.</p><p>If you purchased a domain through Pobox, its registration will move to Fastmail. Please look for an email from us with instructions on how to ensure a smooth transition.</p><p>You can view domains that have been added to your Fastmail account by going to your <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/domains?sessionpicker=1\">Settings → Domains</a> screen. On this screen, you will be able to see whether your domain is active or inactive, and if any DNS changes are needed. (Domains moved from your Pobox account will be shown as active, with no changes needed.) If you are not an administrator for your account, you may not see this screen available in your settings.</p><p>You can set up aliases using your custom domains by going to your <a class=\"ui-link security\" href=\"https://app.fastmail.com/settings/addresses?sessionpicker=1\">Settings → My email addresses</a> screen.</p><p>You can also set up a catch-all alias at your domain, which allows you to receive mail to any address at the domain, even if it has not been set up as an alias yet. For more information on setting up a catch-all alias, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000277942-Catch-all-wildcard-aliases\">Catch-all/wildcard aliases</a> help page.</p><p>If you had AllMail set up for a personal domain in Pobox, a catch-all address has been automatically created in Fastmail. If you set up any AllMail exclusions, these were migrated over as well.</p><p>If you have been moved to a Fastmail Lite or Fastmail Basic plan, please note that you will not be able to add any new custom domains through Fastmail. If you wish to add a new custom domain, you will need to upgrade to a Fastmail Standard or Fastmail Professional plan.</p><p>If you have been moved to a Fastmail Standard or Fastmail Professional plan, you can add new custom domains by going to <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/domains?sessionpicker=1\">Settings → Domains</a>, clicking <strong>Add domain</strong>, and following the <a href=\"https://www.fastmail.help/hc/en-us/articles/360060591133\">domain setup wizard</a>. Fastmail's spam protection does not support blocking messages per country, emailed spam reports, or the \"hold\"/\"release\" process for filtering spam.</p><p>Messages that we flag as spam will be delivered to the Spam folder in your Fastmail mailbox, and will not be sent to your forwarding addresses.</p><p>If a legitimate message is caught in your Spam folder, you can use the <strong>Not spam</strong> button to mark it as such.</p><p>Upon marking a message as not spam, we'll check to see if your account has any mail rules or email address actions that should be applied to this message. We will apply any rules that would move the message to a folder or label, add a pin, mark the message as read, or send a copy to another email address. This means that if you have mail forwarding set up and you mark a message as not spam, the message should be forwarded accordingly. If the message does not match any rules, it will be moved to your Inbox. </p><p>Your account's personal spam database is automatically trained with any spam messages you've deleted permanently from your Spam folder, and any non-spam messages you've moved out of your Spam folder. Once your personal database has seen more than 200 spam and 200 non-spam emails, it is automatically used to filter your incoming mail. You can expect your account's spam protection will improve over time as your personal database is trained. You can check how many spam and non-spam emails your account has learned by going to <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/filters?sessionpicker=1\">Settings → Filters &amp; Rules</a> and clicking <strong>Spam protection</strong>, then scrolling down to the <strong>Personal spam filter</strong> section.</p><p>Your Fastmail account's spam protection level is set to <strong>Standard</strong>, which sends messages with a spam score of 5 or higher to your Spam folder.</p><p class=\"undefined\">You can customize your account's spam filtering by going to your <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/filters/spam\" target=\"_self\" rel=\"undefined\">Settings → Filters &amp; Rules → Spam protection</a> screen. From here, you can choose your account's spam protection levels and customize other spam options. For more information, please see our <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000278142-Improving-spam-protection\">Improving spam protection</a> help page.</p><h3 id=\"h_01J5RWHR9B0Z8AB5275V5HN82M\">\n<a name=\"trustedsenders\"></a>Trusted Senders</h3><p>Fastmail supports whitelisting instead of the Trusted Senders section you are accustomed to. Your existing Trusted senders have been incorporated into Fastmail's spam protection to ensure that messages from addresses you've interacted with previously continue to be delivered.</p><p>Now that your account has been migrated to Fastmail, you can whitelist individual senders or domains by adding them to your <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280101\">contacts</a>. </p><p>You can add an individual address as a contact by going to your <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/contacts?sessionpicker=1\">Contacts</a> screen and clicking <strong>New contact</strong>. You can also add an individual address as a contact while viewing a message by clicking <strong>Show details</strong>, clicking the sender's email address, and selecting <strong>Add to contacts</strong> from the menu. This can also be done using the <strong>People</strong> tab of the <a href=\"https://www.fastmail.help/hc/en-us/articles/1500007394662\">sidebar</a>.</p><p>If you would like to whitelist an entire domain, you can do so by adding the domain to your contacts using a catch-all address, which would look like adding <code>*@domain.com</code> as a contact.</p><p>If a legitimate message is caught in your Spam folder, but you do not want to whitelist the sender, use the <strong>Not spam</strong> button to automatically move the message out of your Spam folder and improve how your account filters spam for you in the future.</p><h2 id=\"h_01J53KF78FEK77NEFX81TS28J0\">\n<a name=\"filters\"></a>Filters</h2><p>In the Fastmail interface, filters are referred to as rules. Rules can be used to automatically perform actions on incoming messages, such as moving certain messages into a folder. </p><p class=\"info\">Your Pobox filters have not be automatically migrated to Fastmail as rules. You will need to manually recreate your Pobox filters as rules in the Fastmail interface.</p><p>You can create and manage your rules from your <a class=\"ui-link settings\" href=\"https://app.fastmail.com/settings/filters\" target=\"_self\" rel=\"undefined\">Settings → Filters &amp; Rules</a> screen. You can also create rules from a specific <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000278122-Mail-rules#newrulemessage\">message</a> or <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000278122-Mail-rules#newrulesearch\">mailbox search</a>.</p><p>From this screen, you can also manage your list of <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000278122-Mail-rules#blockedsenders\">blocked senders</a>. Instead of sharing your real email address with a new service or contact, you can use a Masked Email address to keep it private and protect yourself from data breaches and spam.</p><h3 id=\"h_01J5XR5TF5RFG0C6HV4AWZTRWP\">Fastmail mobile app</h3><p>We have an official <a href=\"https://www.fastmail.help/hc/en-us/articles/360060590873\">Fastmail mobile app</a> that can be used on iOS 15+ and Android 8+ devices. The Fastmail mobile app allows you to read your email on the go without having to use an app password or enter server settings. The app also offers features to enhance your privacy and productivity, such as <a href=\"https://www.fastmail.help/hc/en-us/articles/360058753034\">screen lock</a> and <a href=\"https://www.fastmail.help/hc/en-us/articles/4763978773007\">custom swipes</a>.</p><h3 id=\"h_01J5XS3NZHZS4M67QDB2F44RKP\">Restore data</h3><p>If you accidentally delete an email or draft, our <a href=\"https://www.fastmail.help/hc/en-us/articles/1500000280381\">Restore</a> tool gives you 7 days to retrieve it. If you find yourself frequently searching for the same things, you can also save searches to easily find results with one click.</p><h3 id=\"h_01J5XS3NZHTCPC5P7TFNYY5M4C\">Productivity features: Snooze, scheduled send, and more</h3><p>We offer a number of features to help you control exactly when you want to read and send mail.</p><p><a href=\"https://www.fastmail.help/hc/en-us/articles/360058753634\">Snooze</a> lets you take a message out of your Inbox and have it reappear at a date and time of your choosing. If you receive an important email but don't want to deal with it right now, snooze is a great way to make sure you don't forget about it later. <strong>Note</strong>: This feature will only be available to customers moving to a Fastmail Standard or Fastmail Professional plan.</p><p><a href=\"https://www.fastmail.help/hc/en-us/articles/4686576659727\">Scheduled send</a> lets you choose a date and time for your message to be sent. It lets the owner of a domain decide what should happen to an email should it fail both DKIM and SPF checks. </p>\n<ul>\n<li><a href=\"#h_01HK83SE7P5GQP7A0W7JTF26TQ\">What is DMARC?</a></li>\n<li><a href=\"#h_01HK83RTP5QFB0541QE392GNN2\">DMARC is not a complete solution</a></li>\n<li><a href=\"#h_01HJY7YTRQ6GTVY8EFW0GDXKWF\">Setting up a DMARC policy</a></li>\n</ul>\n<h3 id=\"h_01HK83SE7P5GQP7A0W7JTF26TQ\">What is DMARC?</h3>\n<p>DMARC is a strong anti-phishing feature that lets the receiver verify that the From header (the user-visible sender) aligns with the DKIM signed delivery header, or that the From header matches the SPF signed delivery domain and that it's sent from an address validated by SPF. In short, DMARC lets the receiver verify that the delivery address (on the envelope) matches the user-visible address (the letter inside) and that the person who sent it is allowed to do so. </p>\n<p>DMARC also provides more robustness for mail being forwarded: SPF will fail but DKIM should survive.</p>\n<p>If neither the DKIM nor the SPF checks pass, DMARC lets the domain owner specify if the mail should be quarantined or rejected (and sent to a reject address).</p>\n<p>Fastmail users do not need to set a DMARC policy for their domain to work, but users who would like to set a DMARC policy on their domain are welcome to do so. By default, domains that have their DNS handled by Fastmail have a DMARC policy of <code>p=none</code>. </p>\n<p>Fastmail domains have a DMARC policy of <code>p=none</code>, which means recipient mail servers should report whether the message passes or not, but not change deliverability. This allows users to send mail using our domains from anywhere, for legacy reasons.</p>\n<h3 id=\"h_01HK83RTP5QFB0541QE392GNN2\">DMARC is not a complete solution</h3>\n<p>Many email clients don't preserve message integrity when mail is forwarded, which can break DKIM as well as SPF.</p>\n<p>Mailing lists still alter message fields, which breaks DKIM, and they forward mail, which breaks SPF. Mailing list software is being brought up to date to deal with this by adjusting the \"From\" header and re-signing the message with updated DKIM information.</p>\n<p>Despite the advancements in sender authentication protocols, many users are still not evaluating their email with an educated, critical eye. All the automated checking in the world still can't stop a user from clicking on a message sent from <code>\"PayPa1\" &lt;no_really_this_is_paypal@hotmail.com&gt;</code>.</p>\n<h3 id=\"h_01HJY7YTRQ6GTVY8EFW0GDXKWF\">Setting up a DMARC policy</h3>\n<p>If Fastmail handles the DNS for your domain, then your domain will automatically have a DMARC policy of <code>p=none</code>. To change this to either a <code>p=quarantine</code> or <code>p=reject</code> policy, you'll need to disable this automatically generated DMARC record and create a new one with your desired enforcement policy. </p>\n<p>If we don't handle the DNS for your domain, you can add a DMARC record for your domain in the control panel of your domain host with a compliance policy of <code>p=none</code>, <code>p=reject</code>, or <code>p=quarantine</code>. You can publish a DMARC policy by adding a TXT record for <code>_dmarc.yourdomain.com</code>. From here, you can make any desired edits or choose a new time for the message to be scheduled.</p><p>If your account is unable to send for any reason (e.g. the account subscription is long overdue), any messages scheduled to be sent during that time will be moved to your <strong>Drafts</strong> folder. </p><h2 id=\"h_01HD9X9Q98C5WB6HDTYGGG664Q\">Creating Templates using Drafts</h2><p>If you need to send the same type of message on a frequent basis, you can save time by creating a template. We also include keyboard shortcuts, which can help you navigate your account more quickly.</p><h3 id=\"01H8M7CPFS2G53HBRFA12PJPE2\">\n<a name=\"custom-theme-button\"></a>Custom theme colors and button styles</h3><p>You have the option to change the <a href=\"https://www.fastmail.help/hc/en-us/articles/4413954290447\">theme</a> of the Fastmail interface. We offer a light mode and a dark mode, and a few different preset color options. You can also set your own custom theme colors if preferred.</p><p>We also offer two button styles, the <strong>Modern</strong> and <strong>Bold</strong> styles. To make buttons more prominent on the interface, we recommend using the <strong>Bold</strong> button style.</p><p>These changes can be made via the <a href=\"https://app.fastmail.com/settings/theme\">Settings → Display options</a> screen, in the <strong>Theme</strong> section.</p><h3 id=\"01H8M7DFX8YJXD443J8ZACAN82\">\n<a name=\"rich-plain-text\"></a>Rich text and plain text</h3><p>You can set your account to use rich text or plain text. Rich text allows for visual styling of emails. This means that when you receive emails, you'll see any visual styling that senders have added to their emails (such as bolding or italics). If you set your account to view emails in plain text, then the visual styling of emails will be stripped away and you'll see the emails in a simple format.</p><p>If you have difficulty reading stylized emails, then we recommend you choose the plain text option. This can be set via the <a href=\"https://app.fastmail.com/settings/theme\">Settings → Display options</a> screen. In the <strong>Reading</strong> section, choose the <strong>Plain text</strong> option under <strong>View messages in</strong>.</p><h3 id=\"01H8M7FZMREH3SEPR4WP5CJXDN\">\n<a name=\"font-size-style\"></a>Font sizes and font styles</h3><p>Changes to text size and font can be made via the <a href=\"https://app.fastmail.com/settings/theme\">Settings → Display options</a> screen, in the <strong>Accessibility</strong> section. Increasing the font size and choosing a font style that fits your preference can make text easier to read. (Please note that this option is only available when accessing Fastmail through a web browser or the desktop app. On the mobile app, the font size will follow the system font size on your device.)</p><p>The font size of your account can be increased or decreased by clicking the <strong>Text size</strong> dropdown. We offer text sizes from \"Small\" to \"XXXL.\" </p><p> The <strong>UI Font</strong> is the font style of our interface. By default, the interface uses the Proxima Nova font. If you prefer, you can select the <strong>System font</strong> option, which will then use the font style that your device is using. If you're using plain text on your account, you can also choose to use a monospace font style by enabling the <strong>Use a monospaced font for plain text</strong> option.</p><h3 id=\"01H8M7J3AEWKYW1VHCKQ8BAQX9\">\n<a name=\"keyboard-shortcuts\"></a>Keyboard shortcuts</h3><p>We offer preset keyboard shortcuts that you can utilize for easier navigation and use of your account. Enabling keyboard shortcuts will allow you to perform certain actions directly with your keyboard, instead of having to use your mouse or touchpad.</p><p>Keyboard shortcuts can be enabled via the <a href=\"https://app.fastmail.com/settings/theme\">Settings → Display options</a> screen, in the <strong>Accessibility</strong> section. For macOS, it provides control of the computer through the use of the keyboard. For iOS, controls use taps and other gestures. This can work well with the Fastmail interface, and also the Apple Mail client.</p><p>If you want to use the Apple Mail client along with VoiceOver, you can set up your Fastmail account on Apple Mail.
